Configure your assistant's voice and its manual

The assistant voice is the way your chatbot sounds when it writes: its tone, how much it elaborates, whether it’s informal or formal, how it greets, and what expressions it uses. It’s configured separately from the instructions, which define what the assistant does and what it prioritizes.

In this guide you’ll see how to reach the assistant voice and the two ways to define it: generating it from your team’s conversations, or writing the manual yourself. About 5 minutes.

In the side menu, inside the Chatbot section, go to Configuration. The assistant voice is the second tab, next to Custom instructions. There’s also a direct link to this tab from the instructions text.

Option A: Generate the voice from your conversations

Until you customize it, the assistant writes with the default voice. To make it sound like your team, add real examples and let the platform generate the manual:

  • Add sample: paste a conversation from your team.
  • Import from my conversations: bring in conversations you already have in the inbox.
  • Generate voice manual: creates the manual from the added samples.

If you’d rather start from scratch without samples, click Or write the manual yourself. The manual form opens in creation mode, with sensible starting values. Each field is self-explanatory: it has help text explaining what it’s for and an example inside the field itself.

The form collects these fields:

ToneThe assistant’s overall character (for example: approachable, resolute, energetic).
EmojisWhether it uses none, uses them sparingly, or uses them freely.
Response lengthWhether it answers briefly, moderately or in detail.
StructureHow it organizes the response: what comes first, when it uses lists, how it closes.
RegisterWhether your team addresses customers informally or formally.
Usual greetingThe greeting, used only in the first message of each conversation.
Usual sign-offThe sign-off, used only when closing the conversation.
Brand phrasesExpressions that make your team recognizable; used at most once per conversation and only when it fits.
Banned wordsWhat your team would never say; the assistant never uses them.

When you save the manual, the voice enters first-time review and you can approve it, edit it or discard it.

Your assistant stops writing with the default voice and adopts your team’s style, whether it’s the one it learned from your conversations or the one you defined in the manual. The tone applies to every response, without touching the instructions or the rest of the configuration.
